Documents take more time than it seems: contracts, invoices, deeds, commercial offers, invoices. Each is formed by hand, from copying the previous one, and that is why details, dates and amounts regularly go to them.
Automation eliminates manual filling: data is taken from one card, the document is assembled according to a template and sent immediately. The effect consists of two parts — saving hours of routine work and reducing errors that later cost reissues of documents and broken agreements.
A separate, less obvious effect is speed. A company that sends an invoice five minutes after the call closes more deals than one that does it the next day.
You create a client or agreement card — then the system substitutes the data into templates: contract, invoice, deed, offer. The document is saved in the desired folder with the correct name, the number is assigned automatically, the shipment goes to the mail or to the client's messenger.
For repeated processes, we add chains: invoice after agreement, act after execution, payment reminder on the third day and repeated on the seventh.
A special case is KP, which managers collect manually by the hour. With a template and a calculator, an offer is created in minutes, with the correct prices and current conditions, in a single design.
This is both the speed of the reaction and the appearance of the company: the client compares you not only by price, but also by how the document you sent looks.
Half the problem with documents is not creating them, but finding them. We immediately specify the structure: by client, by deal, by type and date, with predictable file names.
After a year, it saves much more time than the generation itself - especially when you have to pick up documents for a two-year-old agreement.
Automation does not remove responsibility: someone has to check amounts and agree to non-standard terms. We design the process so that this step is clear, and not "it seems that the manager looked."
For critical documents, we add approval: until the person in charge has confirmed, the document does not go to the client.
Automation does not replace a lawyer: templates must be checked before hundreds of contracts are issued.
We work with the wording you agreed to and fix which fields are variable and which cannot be touched - so that six months later no one "fixes" an essential condition in the template.
